We have 21 departments, two stand-alone divisions, 7 research institutes, 15 research centres, and 10 research groups.Our state-of-the-art labs and teaching facilities include award-winning teachers, medical students who have scored near or at the top on national medical licensing exams, and alumni who are making a difference in the health of the world’s people.We conduct our teaching, research and patient care in accordance with the highest international standards.We work with our partners in education, research and health care for the greater good of the local, regional and global community.PositionReporting to the Research Training Programs Officer, the Research Training Programs Support position will provide critical support to the operations managed by both the Research Training Programs Officer and the Program Coordinator. This role is responsible for assisting with the coordination, administration, and communication activities associated with research training programs, faculty awards, and related competitions within the Faculty of Medicine & Dentistry (FoMD).The ideal candidate will also be a key facilitator in ensuring the smooth execution of various committees, awards, special projects, and reporting processes across the FoMD.DutiesI. Manages a broad suite of faculty-level research trainee programs

  • Works In close collaboration with the Manager, Research Training Programs; Associate Dean Research, Graduate Programs; Team Lead, Research Training Programs; the Chair of the Medical Sciences Graduate Program and the Chair of the MD/PhD Program to ensure the accurate interpretation and application of university, faculty and department policies and procedures regarding undergraduate, graduate and other trainee programs Serves as contact person for the MSGP and the MD/PhD Program to the Faculty of Graduate Studies and Research.
  • Prepares expense claims and administers scholarships for all MD/PhD students; coordinates attendance at conferences, provides documentation for UME as required. Resolves issues regarding registration, source of funding, tuition payment, and other problems unique to MD/PhD students.
  • Provides advice and guidance to departmental graduate program administrators who fall under the Medical Sciences Graduate Program (MSGP) umbrella. Also provides advice and guidance to non-MSGP programs upon request Reviews all GPS forms for departments under the MSGP umbrella prior to having the MSGP Chair sign. Forward forms to GPS for final approval.
  • Review all GPS forms for departments under the MSGP portfolio prior to having the MSGP Chair sign. Forward to GPS for final approval.
  • Review all GPS forms that require FoMD approval prior to being sent to the ADR for approval.
  • Serves as committee secretariat and takes minutes for MSGPC, MD/PhD Program and the Graduate Program Committee (GPC). Ensures all initiatives and changes are completed and changed in various documents and websites to ensure students have current information on program requirements.
  • Answers student inquiries by phone or e-mail.
  • Ensures that UofA calendar information is correct and updated for all faculty-administered programs.
  • Manages/coordinates student payroll for FoMD funding when advised of program completion or additional awards to ensure that program and payment termination are synchronized.

II. Administers trainee and faculty member award competitions.

  • Administers FoMD award programs.
  • Prepares application forms, review forms and website updates.
  • Communicates competition deadlines and responds to enquiries.
  • Receives applications and reviews for eligibility.
  • Distributes to reviewers, manages review process, collects and collates reviews and number of awards supported and submission of payment forms.
  • Maintains electronic records.

III. General support to the FoMD Office of Research

  • Provide administrative support for the Undergraduate Summer Student Research Program and other special projects.
  • Provide administrative support for other research training and student programs as assigned.
  • Miscellaneous general administrative support to the OoR as assigned.

Minimum Qualifications

  • Undergraduate degree with 1-3 years related job experience.
  • Experience in program coordination, research administration, or a related field.
  • Ability to apply and adhere to strict confidentiality guidelines, FOIPP, records management protocols, and all relevant university policies.
  • Proficiency with typical office software including MS Office Suite, Adobe Acrobat, and Google Workspace.
  • Ability to develop and maintain positive, professional, collaborative working relationships with stakeholders at all organizational levels.
  • Excellent interpersonal/public relations skills.
  • Exceptional problem-solving and critical thinking skills.
  • Ability to work independently and collaboratively.

Preferred Qualifications

  • A master’s degree is preferred.
  • Extensive knowledge of the university, Faculty of Graduate & Postdoctoral Studies (GPS), and FoMD policies and procedures is strongly preferred.
  • Proficiency in the use of Enterprise Applications (PeopleSoft, Campus Solutions, HCM, SupplyNet, Financials, etc.) is strongly preferred.
