In this role, you will serve as the key point of contact for your clinics, participate in group interviews, and attend daily meetings with the Senior Vice President (SVP) of Operations. You will conduct regular inspections, identify training opportunities, train clinic team leaders/supervisors, and take the initiative to address gaps. Additionally, you will be a critical leader during emergencies, such as cold chain interruptions, clinic openings/closures, Licensee clinic openings or other unexpected events.Compensation:Starting at?$48,000, commensurate with education and experience.Benefits:Comprehensive benefits package, including health, dental, a health spending account, long-term disability, and life insurance. Eligibility begins after three months of continuous full-time employment.Reporting To:SVP, Operations and Virtual CareWhat You’ll DoScheduling & Payroll:-Coordinate and maintain full-time schedules for clinical and administrative shifts (subject to managerial approval).
-Prepare staff schedules two weeks in advance and oversee payroll hours and time-off requests.
-Monitor and optimize EMR schedules for efficiency and find coverage for sick calls or last-minute scheduling changes.
-Ensure appointments are confirmed and follow up on unverified bookings.
-Support coverage for staff and management vacancies as needed.Inventory & Maintenance:-Maintain inventory levels using “Inspectify” spreadsheets and oversee action requests.
-Ensure clinics adhere to cleanliness, professionalism, and performance standards.Leadership & Team Management:-Lead by example, motivating teams to excel in their roles.
-Oversee clinic operations, create task lists, and address non-medical questions from staff, physicians, and patients.
-Manage performance by conducting evaluations, coaching, and providing feedback to team leaders/ clinic staff.
-Collaborate with the VP of Operations and HR to forecast staffing needs and assist with hiring and onboarding.
-Act as a liaison between physicians, staff, and leadership, ensuring clear communication and resolving conflicts effectively.
-Implement procedural updates and manage workforce operations, including reconciling unbilled visits.
-Prepare and manage budgets for clinics, monitor expenses, and ensure cost-effective operations.
-Track and analyze clinic performance metrics, including staff productivity, and revenue goals.
-Address and resolve operational challenges or staff concerns promptly.
-Build and maintain relationships with vendors, partners, landlords, and community stakeholders.
-Collaborate with HR, Accounting, Virtual Care, Marketing, and other departments to support clinic operations.Inspections & Meetings:-Conduct/coordinate monthly inspections and submit reports to the VP of Operations.
-Attend daily operational meetings to track progress and align with shared goals.
-Participate in staff meetings and ensure compliance with disciplinary processes when necessary.Training & Development:-Identify training needs and organize staff development sessions.
-Prepare staff for specialty programs, such as injections and advanced procedures.
-Provide training for new hires and interim leadership when team leaders resign.
-Facilitate group interviews for potential hires and support QA sessions.Flexibility & Crisis Management:-Work a combination of days, evenings, and weekends across various clinic locations as needed.
-Lead contingency plans during unprecedented events, such as cold chain breaks, flooding, or clinic closures.
-Ability to travel frequently between clinic locations within the region.
-Ability to stand, walk, and occasional lifting of materials.Note: Due to the evolving nature of the healthcare industry, job responsibilities may change based on organizational needs.What We’re Looking ForMinimum Qualifications:-Post-secondary education (college or university) or equivalent work experience.
-2-3 years of management experience in a customer service-focused environment.
-Must possess a valid driver’s license and have access to a reliable vehicle to travel between clinic locations.
-Ability to work across multiple clinic locations with flexible hours.Additional Qualifications:-Exceptional verbal and written communication skills in English (additional languages are an asset).
-Superior customer service and interpersonal abilities.
-Strong computer proficiency and knowledge of basic IT solutions.
