Learn more about the opportunities we create for students, employees, and our province at .Position SummaryAs a vital member of the School of Health and Wellness team, the Program Administrator – Allied Health is responsible for scheduling and enrollment, timesheets and onboarding, and administrative and program support to Associate Deans, Program Chairs, faculty and learners within Allied Health.This is a full-time, temporary position until July 2026.Position responsibilities and accountabilities include but are not limited to:

  • Monitoring and reviewing enrolment data to determine the number of course sections and capacities to be offered each term.
  • Coordinating the tracking of student enrolment, registration, and graduation information through the SIS to provide pertinent information regarding student progress, program growth and/or program expansions including course waitlists and low enrollment list.
  • Working closely with Scheduling to ensure booking of rooms that meets the specified needs of each offering and event planning (classroom size, appropriate technology, etc).
  • Collaborating and coordinating data from specialized College systems as appropriate (scheduling and student information systems) to support the scheduling for Allied Health programs.
  • Reviewing all timesheets for accuracy prior to supervisory signature and submission.
  • Drafting or sending routine correspondence program documents, email announcements and/or format correspondence and reports.
  • Utilizing Brightspace D2L to set up and support new instructors, add course offering information, input schedules and grades where applicable, and manage exam dates.
  • Creating agendas and taking minutes for School meetings, as required.
  • Coordinating or assisting in various projects, marketing activities, presentations, workshops, etc.
  • Responding to learner queries, providing information and clarification through telephone, email and/or face-to face; coordinating learner/staff liaison meetings.
  • Processing learner forms including course changes, withdrawals, mark changes, extensions, transfers, and course completion and/or termination paperwork; maintains filing system.
  • Assisting in scheduling learner testing and invigilating testing as required.
  • Assisting in providing relief for the department Receptionist, as required and scheduled.
  • Participating in cross-training with other support staff to become familiar with other programs and positions.

Qualifications:

  • 2 years of directly related experience
  • Diploma in Office Administration or related field
  • An equivalent combination of directly related education and experience may be considered
  • Customer service experience.
  • Analytical reasoning and critical thinking skills
  • Problem solving skills and the ability to investigate and analyze information, draw conclusions and devise and implement solutions
  • Experience in document preparation, word processing, and file management.
  • Experience working in a busy office
  • Sound knowledge of student information systems is preferred
  • Knowledge of scheduling and timetable practices is preferred
  • Computer experience including MS Office and online learner platforms (i.e., MS Teams, Unit4, Brightspace D2L) is preferred.
