Over 40,000 applicants apply to undergraduate programs at the University of Alberta every year.PositionReporting to the Assistant Registrar, Admissions (ARA), the Manager, Admissions uses a collaborative leadership model to direct and manage the operational decisions of the Admissions unit. Each Manager will directly oversee 8-10 employees made up of Specialists (Research & Curricula), Specialists (Evaluations) and Generalist Advisors.The Admissions unit is responsible for admissions to undergraduate programs at the University of Alberta and processes over 59,000 applications annually. The Managers oversee, evaluate, and set the operational priorities for the admission unit based on institutional enrolment management objectives, the analysis of data, and historical trends.As key members of the Admissions leadership team, Managers help to build a team that strives for service excellence and embraces continuous improvements. They are skilled at building relationships with colleagues across campus and often participate in collaborative efforts with faculties, business units and staff across the institution.   • Oversees and provides mentorship for their group of admissions staff including the development of ongoing performance and development plans
  • Responsible for staff performance management; mediates issues and/or conflicts within the team or between staff and is the main point of escalation for most staffing issues.
  • In conjunction with the Admissions leadership team, sets priorities for how to process the diverse applicant pool in a way that supports institutional enrolment management objectives. The team constantly re-evaluates these priorities by monitoring necessary in-cycle changes resulting from internal or external factors
  • Investigates and develops solutions for in-cycle admissions issues identified internally by other stakeholders (faculties, programs, units, etc.)
  • Develops best practices for admissions process by ensuring familiarity with the post-secondary admissions landscape and overarching trends, including maintaining active participation in relevant organizations and committees
  • Collaborates with Admissions leadership team to support and lead continuous improvement practices for the unit, ensuring a high level of student service and efficiency
  • Leads the development of quality assurance processes within the unit to support overarching unit and institutional goals.
  • Identifies and provides recommendations on policy issues impacting admissions process
  • Leads the identification and development of operational metrics to support decision making and continuous improvement at the staff and unit level
  • Resolves specific applicant level issues identified by faculties, advisors, or other internal/external stakeholders
  • Fosters collaborative relationship with other units for the purpose of supporting exceptional applicant service – including alignment of strategic priorities, operational support through efficient flow of work between the units internal and external to the Registrar’s Office

Minimum Qualifications

  • A Bachelor’s undergraduate degree is required, additional credentials would be an asset
  • 3-5 years of supervisory experience (staff management); experience supervising in a unionized environment is an asset
  • 3-5 years of experience with technical systems, policies, processes, and other functions related to admissions processing, preferably at the University of Alberta
  • Thrives in a collaborative, team-oriented leadership model
  • Ability to lead with integrity and compassion
  • Proven track record in building and nurturing relationships with internal and external stakeholders
  • Experience with continual process improvement and quality assurance approaches
  • Exceptional analytical and problem-solving skills, including data analysis for decision support
  • Proven track record in developing and maintaining high levels of trust and credibility, act with integrity and tact, and demonstrate respect and empathy with diverse stakeholders (internal and external)
  • Experience with working on or leading complex projects that involve multiple stakeholders
  • Excellent time management skills with the proven ability to manage and prioritize multiple tasks
  • Excellent verbal, written and interpersonal communication skills with superior attention to detail and superior level of accuracy.
  • Strong commitment to service excellence, equity, diversity, inclusion and indigenization

Preferred Qualifications

  • Experience with Campus Solutions/PeopleSoft, Slate, or other Student Information Systems are assets
  • Training in project management and/or business improvement are assets
  • Familiarity with Campus Solutions/PeopleSoft or other Student Information Systems an asset
  • Experience in leading post-secondary admissions at either a faculty or institutional level is an asset
