The Logistics Coordinator plays a critical role in leading the day-to-day logistics of shipping process ensuring safe, secure, accurate and timely shipping. They conduct detailed data analysis to ensure rate optimization and remain aware or market rate fluctuations and opportunities. This position will support the Operations Manager in developing key performance indicators (KPIs), managing transportation costs, and improving efficiency. The Logistics Coordinator will report to the Operations Manager, Bookstore and Campus Mail.Work PerformedShipping:Develop and maintain standard operating procedures for shipping and transportation to maximize efficiency while minimizing costs.Implement sustainable shipping methods aimed at reducing carbon emissions and improving environmental responsibility.Participate in negotiations of shipping rates with carriers, including contracted lanes administration and rate adjustments.Prepare and process shipping documents, including bills of lading, packing lists, and invoices.Ensure accuracy in all incoming and outgoing shipmentsTrack, monitor, and manage shipments to guarantee on-time pickup, delivery and resolve any discrepancies and customs related issues.Reporting and Data Analytics:Analyze transportation cost margins, provider’s compliance, lead time, receiving efficiency, and CO2 emissions, to help the Operation Manager to align metrics with departmental goals.Participate in the development and maintenance of key performance indicators (KPIs) for shipping, benchmarking costs and performance against industry standards and market trends.Reconcile daily mail system records, ensuring all data is up-to-date and accurate.Prepare monthly reports using the Business Manager Mail Accounting System, including reconciling communication files and financial data.Analyze and maintain the cost center chargeback systems for all mail processing equipment.Provide data and reports to support decision-making for the Operations Manager and other stakeholders.Team Management:Assist the Warehouse Supervisor with staff training on logistics-related matters and ensure a productive work environmentGather and report performance metrics for continuous improvement initiatives within the logistics team.Customer Service:Respond to stakeholders’ inquiries regarding shipment status and provide timely updates.Address and resolve customer complaints or logistical issues in a professional and efficient manner.Maintain strong working relationships with internal stakeholders, transportation providers, and customers to ensure smooth operational flow.Process Improvement:Participate in enhancing process efficiencies and.Implement and adhere to Six Sigma improvement processes.Identify opportunities for cost savings, sustainable practices and productivity enhancements.Additional Responsibilities:Provide input to the Operations Manager in the development of annual operational goals.Carries out any other related duties as required in keeping with the qualifications and requirements of position in this classification. Supervises, delegates and monitors work, provides guidance and training of subordinate positions in the Bookstore.Minimum Qualifications
High school graduation and a minimum two years of related experience or an equivalent combination of education and experience.– Willingness to respect diverse perspectives, including perspectives in conflict with one’s own– Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusionPreferred QualificationsBachelor’s degree in logistics, supply chain management, business administration, or a related field preferred.2+ years of experience in logistics, shipping, or a similar role.Strong analytical skills with experience in data reporting and the ability to manage large data sets.Familiarity with logistics software, ERP systems, and advanced knowledge of Excel for reporting.Excellent communication, problem-solving, and organizational skills.Ability to work under pressure and meet tight deadlines.Physical Requirements:Ability to lift and move boxes weighing up to 50 pounds as needed.Comfortable working in a warehouse environment where safety and accuracy are paramount.Experience with Six Sigma or other process improvement methodologies is a plus.
