Work Arrangement: Fully In-office
Expected Salary Range: $100,000 – $120,000 per yearResponsibilities:
- Manage full-cycle accounting for a personal business portfolio, including properties, securities, and loans, ensuring accurate financial operations across multiple entities.
- Oversee budgets for special projects, tracking costs, cash flow, and projections, and managing cash calls and payments.
- Handle accounts payable and receivable, processing payments, reconciling data, and maintaining accurate ledgers.
- Prepare and maintain financial statements, including monthly, quarterly, and annual reports, and create daily cash flow projections.
- Coordinate tax filings by compiling and submitting documents to external accountants, and assist with audits by reviewing and correcting expense accounts.
- Ensure transactions align with the proper tax structure and documentation.
- Collaborate with executives to present and review financial reports.
- Organize monthly bank and securities account statements and provide support for the bookkeeper.
- Respond to bookkeeper requests for additional information and supporting documentation.
- Manage property-related financials, including issuing purchase orders, processing invoices, and ensuring proper approvals and payments.
- Monitor stock trades, execute trade orders, and manage private placement stock purchases while tracking fill prices and identifying sell opportunities.
- Track securities transactions, calculate adjusted cost bases, and monitor year-to-date capital gains and losses across accounts.
- Administer loans, including monitoring, consolidating where beneficial, managing cash transfers for interest payments, and ensuring timely renewals and repayments.
- Liaise with banks to facilitate cash management activities such as transfers, wires, drafts, and obtaining necessary tax and financial documentation.
- Oversee asset transfers and restructuring, ensuring transactions align with the correct tax structure and are properly documented.
- Maintain detailed financial records, including asset databases with nominal and beneficial ownership details.
- Reconcile account activity and expenses, making recommendations for trust distributions and financial optimizations.
Requirements:
- 6-8 years of relevant experience and post-secondary education, with a CPA designation.
- Proven experience supporting a senior-level executive in financial matters.
- Highly organized, detail-oriented, and able to prioritize effectively.
- Positive and proactive in handling a wide range of junior-to-senior-level financial administrative tasks.
- Strong communication skills, keeping executives informed on key issues.
- Self-motivated with a confident, can-do attitude.
- Professional demeanor and ability to interact with all levels of staff and executives with diplomacy.
- Maintains confidentiality, discretion, loyalty, and respect.
- Excellent verbal communication, telephone etiquette, and professional presentation.
- Strong computer skills, proficient in MS Office.
- Available outside regular hours to address urgent matters.
- Calm under pressure, focused on tasks during stressful situations.
- Independent, self-directed, and delivers high-quality work.
- Team-oriented with the ability to excel in collaborative environments.
