Job Description: The City of Edmonton is looking for a Facility Partnership and Event Liaison! The Facility Partnerships and Event Liaison understands the positioning of both Dr. Anne Anderson Community Centre and St. Francis Xavier Sport Centres have unique facilities with Edmonton Public School Board and Edmonton Catholic School District partnerships integrated into a public recreation/sport centre. The vision for these facilities is to meet the recreation, leisure and sport needs of the community. - Understand the partners mandate, vision, mission and business needs as well as the facility focus/purpose and public demand
- Manage the facility details that create a ready and welcoming environment where recreation and leisure programming for the public can occur at the same time as the school activities
- Build and maintain strong working relationships with the school representatives
- Establish functional and positive relationships with other park stakeholders and partners for both St FX and DAACC
- Effectively and efficiently communicate with the partners and all other stakeholders about varying needs and wants, ensuring there is a mutual understanding and appreciation between all parties and to enable all involved to achieve optimal operations within given parameters
- Be responsible for the management and administration of all partner contracts, as well as the process by which they are created, amended, renewed and agreed to
- Lead/manage the allotment of space and time between the school boards and the city including city programming and booking teams
- Develop and lead plans for the optimization and promotion of space at St FX/DAACC, in particular in relation to partner operations and programming
- Actively investigate and pursue opportunities to leverage the partnerships for mutual benefit, improving integration and thus the experience for any visitor to the facilities, including for instance joint promotional opportunities
- Share and coordinate any facility and/or amenity-specific or program/service-related communication between COE and partners
- Represent COE/St FX & DAACC in the Joint Advisory Committee meetings with EPSB and ECSD
- Understand and support all work related to facility budget (i.e. variance reporting)
Event Coordination and event-related operational support:
- Work with both EPSB and ECSD on establishing the annual event calendar as per partner agreements, and coordinating this internally as needed
- Communicate event-related information to all relevant internal and external stakeholders to facilitate a well-planned and well-coordinated approach from an events management perspective i.e. event briefing sheets
- Actively contribute and support the planning, preparation, implementation and debriefing of events as needed (i.e. varying level of involvement depending on the event specifics)
- Be a main point of contact from the City’s perspective during events, problem solve and collaborate with all internal and external stakeholders to provide satisfactory experiences for all facility visitors during an event i.e. public and rental users, event participants, staff from a variety of areas including facility operations, programs, front counter, communications, etc., partners, and spectators
Facility Team and Section Team Support
- Manage the facility details that create a ready and welcoming environment where recreation and leisure programming for the public can occur at the same time as the school boards programming
- Integrate with the Facility sub-teams (e.g. front counter Crew Lead, Programming teams, Bookings team, Custodial, Security) and build/maintain great working relationships through timely and appropriate communication, setting of expectations and clarification of roles/responsibilities related to partner day-to-day business operations as well as for events
- Lead the response to any comments from customers, partners or others related to partner involvement and impacts within the facilities
- Support the Crew Lead on operational matters related to OH&S, including inspections, hazard assessments, emergency preparedness in particular as related to events and partner operations
- Facilitate a solution-focused approach with the appropriate parties when challenges related to this integrated facility model arise
- Collaborate on a coordinated approach to marketing and communications related to both DAACC and St. FX and ensuring frequent and current messaging through the appropriate channels i.e. MoveLearnPlaySupport the facility team as well as the Branch as needed
Qualifications
- Bachelor’s Degree in Physical Education, Recreation Administration, Business Administration or a related discipline
- Minimum of three (3) years of progressively responsible experience in working with partners ideally in the field of sports or recreation
- Experience engaging, communicating, influencing and collaborating with partners, external stakeholders and internal staff at all levels
- Experience working with sport organizations in the area of partnerships, operations, facility development and agreement management
Assets:
- Experience planning, organizing, executing events
- Background / experience in sports in general and in cycling and/or triathlon in particular
Skills required for success:
- Ability collaborate and build effective working relationships with key internal and external stakeholders who have differing needs views and opinions to explore and develop synergies and find solutions
- Strong ability to effectively interact and communicate (verbally and written) with a variety of partners, stakeholders and staff
- Excellent interpersonal, team, and customer service skills

- Time management and organizational skills are essential for the success of this role
- Ability to interpret and understand legal agreement terms and conditions in consultation with legal representation
- Strong business acumen with solid understanding of budgets and variance analysis
- Strong working knowledge of Google applications

)Work Environment:
- Note: This position requires the staff to work on-site. Evening and weekend hours will be required regularly to support events, and other operational needs at the facility level
Conditions of Employment:
- Valid Alberta Class 5 driver’s licence (or provincial equivalent). Must obtain business auto insurance for personal vehicle use on City business
- Valid Standard First Aid and CPR Level C is a requirement of this position
- Hire is dependent upon a Criminal Record Check satisfactory to the City of Edmonton
