We recognize the land and waters that have inspired our work and offer gratitude to those Indigenous peoples on whose territory we work, live and play.About the roleCanadian Blood Services is looking for a Regular full-time Clerk – Ottawa to join our dynamic Donor Relations & Collections East team.The Donor Relations & Collections East team is responsible for supporting Canadian Blood Services by collecting donor blood in a safe manner to enable safe products which save lives every day. In this role, you will be responsible for clerical work reporting to the Supervisor, Resources. You will adhere to all current operating procedures and practice good judgment in the performance of job responsibilities while promoting the Centre’s objectives through good interpersonal skills. .Formula for success

  • Drawing on your knowledge or experience in record keeping and file management, you will be responsible for document management for Collections (SOPs/WIs) including implementations and the rescinding of documents, as well as maintain various record systems.
  • Establish and maintain filing systems for training.
  • You will compile, type/keyboard, update, file, report, template, manual and statistical data.
  • Leveraging your attention to detail, you will prepare, scan and email documents to various departments
  • Utilizing your superior organizational skills, you will make arrangements for accommodations and travel, reserve meeting rooms, set up equipment and arrange catering.
  • You will record and produce meeting minutes and agendas.
  • Complete expense reports for manager.
  • Operate automated and other office equipment.
  • Maintain and keep records of and requisitions of office supplies.
  • Perform receptionist duties.
  • Perform other administrative duties as required.

Desired education and skills

  • Completion of a post-secondary education in a relevant discipline from a recognized academic institution.
  • Minimum three (3) to six (6) years’ experience in Office Administration required.
  • Technical skills including MS Office (Excel, Word, Outlook) as well as scanning skills are essential.
  • Excellent communication skills in English is essential, including legible handwriting.
  • Superior multi-tasking skills required.
  • Excellent administrative skills including typing, filing, and recording are essential.
  • Ability to work as a team and independently.
  • Detail-oriented and capable of working in a highly regulated environment.
  • Flexibility is essential to ensure document implementations to meet deadlines.

What you can expect

  • Shift/hours – Monday to Friday 8:00 to 16:00 with occasional Saturdays.
  • Travel requirements – travel will be required to our Concourse Gate site for Document Management.
  • Physical requirements – ability to lift weight up to 10 kg (22 lbs.).
