Job Description: Job DescriptionCORPORATE SECRETARY/EXECUTIVE ASSISTANTType: In-Office|3 Month Temporary Position|Edmonton ABAbout Our ClientExciting opportunity to join a leading industry client in downtown Edmonton for a 3-month temporary role! Reporting directly to the COO, this position provides essential administrative support to the corporate office and assists with Board of Directors meetings.The ideal candidate is solution-oriented, highly skilled at multitasking, and thrives in a fast-paced, deadline-driven environment. Strong independence, advanced proficiency in MS Office, and proven experience in minute-taking are essential for success in this role.The position offers weekday hours, 8:00 a.m. to 5:00 p.m., and is conveniently transit-accessible. Please note, parking is not provided.Key ResponsibilitiesAs the Corporate Secretary/Executive Assistant, you will be a vital contributor to the daily operations and overall success of the corporate office. Your primary responsibilities include:
- Meeting Coordination: Scheduling meetings, booking meeting rooms, and arranging catering as required.
- Board Support: Preparing board agendas and updating board packages as needed to ensure seamless board operations.
- Minutes and Action Items: Composing and transcribing accurate meeting minutes and tracking action items to completion.
- Administrative Assistance: Providing comprehensive administrative support to corporate office staff as needed.
- Document Management: Word processing, editing, and proofreading documents to maintain high standards of quality and accuracy.
- Office Operations: Managing mail and courier services, ordering office supplies, and maintaining both electronic and paper filing systems.
- Additional Tasks: Performing other administrative duties as requested to support the team and office operations.
QualificationsTo excel in this role, candidates should possess the following qualifications and skills:
- Experience: 7-10 years of relevant administrative or executive support experience.
- Technical Proficiency: Advanced expertise in MS Word, Excel, and Outlook, including proficiency in mail merges, section breaks, and tables in Word; ability to create formulas, manage rows/columns, and sort data in Excel.
- Meeting Coordination: Proven experience in minute-taking and organizing meetings effectively.
- Attention to Detail: Exceptional accuracy and attention to detail, with strong proofreading and editing capabilities.
- Professionalism: Excellent verbal and written communication skills, with a polished and professional demeanor.
- Positive Attitude: Energetic, approachable, and solution-oriented personality.
- Independence: Strong ability to prioritize and manage a demanding workload with minimal supervision.
