Job Description: Administrative AssistantAlberta Innovates is seeking a detail-oriented individual with a client support focus to play a critical role in supporting the administrative needs of the Agriculture and Food Innovation team.Are you our next Administrative Assistant? - Reviews, drafts, proofs and maintains departmental correspondence, minutes, reports and other relevant departmental documents
- Coordinates external committee meetings including drafting agendas, minutes and other relevant documents
- Performs the administration and management of departmental datasets
- Assists in timely delivery of departmental deadlines
- Coordinates information for decision making
- Coordinates and manages the scheduling and travel arrangements for internal and external departmental meetings. Inclusive of sending out meeting requests, room bookings, technology requirements, briefing notes, agendas, refreshments, catering and other details as required.
- Coordinates travel arrangements for department staff
- Completes expense claims for department staff
- Performs financial recording and record keeping
- Addresses departmental records management issues and ensures departmental compliance with company policies and procedures
- Support the design and execution of department social events
- Delivers administrative support for special projects
- Performs front desk and reception duties as required
Qualifications:
- Diploma from a recognized post-secondary administrative program in Business Administration (Extensive work experience can be substituted for education)
- Require 2-5 years of experience in an office environment
- Demonstrated ability to proactively manage the administrative needs of a team
- Ability to adapt to change and work in a team environment
- Strong organizational and multi-tasking abilities
- Excellent interpersonal and communication skills
- Experience in establishing and maintaining good working relationships with internal and external stakeholders
- Attention to detail
- Note taking ability
- Proven ability to learn new digital systems
- Self-assured, confident and result-oriented
- Able to work flexible hours
- Knowledge of Microsoft Suite, including Word, Excel, Power Point, and Outlook
- Experience in records management is desirable
