The student population is quite diverse and seven percent of seats in all programs are designated for Indigenous student admission.The Department of Earth and Environmental Sciences, within the Faculty of Science and Technology, supports three disciplines: Environmental Science, Geography, and Geology. We offer 2 bachelor degrees (BSc in Geology and BSc in Environmental Science), a post-bachelor certificate (Spatial Data Science), and a wide range of service courses.About the RoleThe Department of Earth & Environmental Sciences is hiring a Department Administrative Assistant who will perform a range of administrative duties to support the ongoing operations for the Department, including administrative support to the Chair. We are looking for a candidate that is dynamic and shows initiative to learn new skills; someone who is an independent thinker and loves new challenges. The Departmental Administrative Assistant also acts as a communication link among faculty, staff and students, and thus the candidate must be personable with the ability to handle frequent interruptions. This position requires someone who is independent, responsible, and has exceptional organizational skills.Responsibilities
- Perform a range of general administrative duties to ensure that effective administrative support is provided to the Department and the Chair
- Act as the central point of communications and deal with a range of inquiries (phone/in-person/email) by responding directly or referring queries as appropriate.
- Responsible for data entry and scheduling as well as providing assistance to ensure effective academic program delivery.
- Assist with the administration and monitoring of the department budget through performing a range of financial processing, reporting and tracking activities.
- Communicate and problem solve with other university units, in particular: Scheduling, University Advancement, Marketing, Maintenance, Human Resources and Payroll.
- Knowledge of university policies and procedures
- Provide basic technical support to ensure effective operation of department resources (photocopier, fax, printers and telephones)
- Provide occasional support to the Faculty of Science and Technology or other departments in the Faculty, as needed.
- Other duties as assigned.
Qualifications
- Excellent computer skills including word processing, spreadsheet, calendar management, and the ability to learn a variety of different institutional software programs.
- Excellent organizational skills with experience in dealing with a wide variety of demands, e.g., scheduling, record keeping, minute taking, budget management.
- Strong time management skills and the ability to assess and manage priorities in line with deadlines.
- Employ sound judgment, professionalism and the ability to complete tasks with little supervision and the confidence to be proactive.
- Attention to detail is essential.
- Excellent written and verbal communication skills.
- Ability to interact with a diverse group of faculty and students.
- Experience as an Administrative Assistant, ideally in a post-secondary environment is advantageous. Administrative training (a diploma or certificate) is an asset.
